As you probably know by now, I spend a lot of my time educating business owners how to organize their Canva accounts for maximum efficiency, so I probably shouldn’t be surprised how often I get asked how I’ve set up my own Canva account.

So today I thought I’d answer that question with a video and I’m going to take you on a quick tour of my own Canva workspace.

As a Canva Verified Expert who practically lives in Canva every day, having a super organized setup is absolutely essential for me and I’ve refined my folder structure over time to make everything easy to find and use.

I’ve got twelve primary folders, which I find is the sweet spot – not too many to feel overwhelmed, but enough to keep everything neatly categorized.

When I was setting up my folders, I wanted to make sure they were specific enough so I’d know exactly what’s inside at a glance, but also broad enough to handle all the new content I’m constantly creating. It’s a bit of a balancing act, but I think I’ve nailed it. Each folder has a clear purpose, making it easy to find what I need without any guesswork.

My Canva Folders

So here’s a closer look at what’s in each top-level folder:

Blog & Website is where I keep all the graphics I use on my website. Think blog post images, thumbnails for tip videos, designs for the images I’ve used throughout various pages on my website like my homepage, services pages, podcast media page, etc.

Brand Assets contains anything related to my branding that doesn’t quite fit into the Brand Kit, like extra headshots and the design for all of my custom folder thumbnails.

Courses is probably one of the folders I’m in the most often, especially lately since I’ve been completely overhauling the lessons for my Canva organization course. This folder contains any of the designs for my lesson slides, video thumbnails, worksheets, promotional graphics and affiliate graphics for my courses.

Digital Products doesn’t get used quite as often but that’s where all the designs and assets for my Canva template bundles live.

Freebies has subfolders for all my free offers and their supporting materials. For example, you’ll find the Canva Organization Roadmap and the Introduction to Canva Resource Bundle in here, among other freebies.

Presentations houses any slide decks for presentations I give outside of my courses.

Social Media is pretty self-explanatory, and it’s where I store anything social media-related, from Instagram posts to Pinterest pins.

Photos is split into categories for Styled Stock Photos and Screenshots, and then my Styled Stock folder is broken down into source website, and then into image topic or theme.

Templates holds all the templates I’ve imported into my account for future use, for example from The Template Tribe, which is a third party Canva template site or My Social Designer, aka Roger Coles, who is a Canva Creator that contributes templates to the official Canva template library.

But what all of these have in common is that none of them have yet been customized for my own brand; they’re just here for future use.

Then there’s the VIP Day & Services folder which contains the small number of designs I need for my 1-to-1 organization service offers.

Personal is my catch-all for non-business stuff, like family holiday card designs.

And then finally there’s my Archive folder which I use to tuck away files that I’m not actively using but might need later, and I review it periodically to clean things out.

So that’s my Canva account in a nutshell! It’s all about making things as easy and efficient as possible so I can focus on creating great content without getting bogged down in the organization.
