Picture this: You’re a small business owner working on a project with a couple of remote team members.

Everyone’s in different locations, and you need a way to brainstorm ideas, plan the next steps, and keep everyone on the same page.

Instead of sending emails back and forth or juggling multiple documents, you open a Canva Whiteboard.

Canva Whiteboards provide an open, flexible space where everyone can contribute, no matter where they are. It’s like having a giant whiteboard that never runs out of room, so you can keep expanding your ideas without feeling cramped.

Whether you’re sketching out a new product, planning a marketing campaign, or just organizing your thoughts, the whiteboard gives you all the space you need.

So here’s how to use this feature of Canva.

You can choose from a variety of templates or start with a blank whiteboard if you want to build something from scratch. Templates can help you get organized quickly, but a blank canvas gives you complete freedom.

To collaborate with others on a whiteboard, you can share a link by using the Share button. Choose to share it with specific people, or you can share a general collaboration link.

Anyone with access to the whiteboard will also be able to jump in, add their thoughts, move things around, or leave comments and feedback. It’s a simple way to make sure everyone is on the same page and can see how the project is shaping up.

To enhance collaboration, Canva Whiteboards offer specific elements designed to make teamwork smoother and more interactive.

Sticky notes are a staple of whiteboarding and are perfect for capturing ideas quickly. Each team member can add their thoughts or suggestions on sticky notes in different colours, which makes it easy to see everyone’s contributions at a glance.

These sticky notes can be moved around, grouped, or connected to other elements on the board to help organize and prioritize ideas. This visual organization is especially helpful during brainstorming sessions or when mapping out a project.

The commenting feature allows team members to provide feedback directly on specific elements of the whiteboard. For example, someone might leave a comment on a sticky note to ask a question or suggest a modification.

Or if you don’t have a comment to add but want to show your support or another reaction, you can also use Canva’s reaction feature that enables you to give instant feedback on ideas using emojis.

For example, someone might leave a thumbs up to show approval or a heart to highlight a favorite idea. This is a quick and informal way to gauge consensus or enthusiasm for certain ideas without interrupting the flow of discussion. It’s really great for keeping everyone engaged, especially in remote settings.

And you’ll also find reaction style images in the “Whiteboard graphics” area under the Elements tab, so for example, I might want to add a plus one graphic to someone’s comment if I agreed with it.

Because there are no page borders to worry about in a Canva Whiteboard, you have unlimited space so you can keep brainstorming and organizing ideas without feeling confined.

But if you want to keep collaborators on track and put some limits on brainstorming time, you can also use the timer function in Whiteboards to set a specific time limitation. It even comes with some fun music options.

Once you’re done with the brainstorming or mind mapping portion of your project, if you’re using Canva Pro, you can use the Magic Switch feature to transform your whiteboard into a collaborative document or design with just a click.

It’s a great way to take your brainstorming session and turn it into something actionable, like a presentation or a plan that you can share with clients.

Overall, using a Canva Whiteboard offers a simple, effective way to organize ideas and to collaborate in real-time.
